Walnes is committed to protecting your privacy. To ensure the security of your personal information, the data we hold is treated as confidential and processed in accordance with current legislation. 

We have developed this Privacy Policy to inform you of the data we collect, what we do with your information, what we do to keep it secure and the rights and choices you have over your personal information. 

The information we collect

We may collect a range of personal data, according to the services we are providing, but will only collect information that we know we will genuinely use and in accordance with the General Data Protection Regulation (GDPR).   

  • Contact and personal details such as phone number and email address
  • Business activities and demographic information such as postcode and IP address

In further dealings with you, we may extend this information to include your purchases, services used, records of conversations, agreements and payment transactions.

We do not collect any Sensitive Data about you, such as details about your ethnicity or beliefs.

We will not store, process or transfer your data unless we have an appropriate lawful reason to do so.

Generally, we do not rely on consent as legal grounds for processing your personal data, other than in sending marketing communications to you via email. You have the right to withdraw consent to marketing at any time.

The reason we hold your data

We may obtain, use, process and disclose personal data to:

  • provide you with information about us and our services;
  • process your orders and administer your account in an effective manner;
  • undertake management activities;
  • comply with our contractual obligations with you;
  • help us review, develop and improve our services and website;
  • review job applications;
  • comply with legal and regulatory requirements.

Sharing your information

We will only share your information when appropriate to provide you with an effective service or to comply with our legal obligations. When we do share data, we will put in arrangements to protect the data.

  • HMRC, law enforcement or other government or regulatory agencies

For the avoidance of doubt, we will not sell or lease your personal information to third parties for marketing or advertising purposes.

Domain name services:
It will be necessary to share your data with Registrars, Registries and Certificate Authorities, some of whom operate outside the EEA.

When we transfer your personal data outside the EEA, we do our best to ensure a similar degree of security of your personal data.

Keeping you up to date on services

From time to time, we may send you news and announcements about our services but only if the services are relevant to an existing contract or recent sales negotiations or if we have your consent. When you first contact us we will ask if you would like to receive marketing communications. You can change your marketing choices online, over the phone or in writing at any time.

Your rights

Right to Access Your Personal Information
You have the right to request access to the personal information that we hold about you. If we agree that we are obliged to provide this data to you (or someone else on your behalf), we will provide it free of charge and aim to do so within 30 days of identity being confirmed. We would ask for proof of identity and sufficient detail about your interactions with us that we can locate your personal information.

Right to Correction of Your Personal Information
If any of the personal information we hold about you is inaccurate or out of date, you may ask us to correct it.

Right to Stop or Limit Our Processing of Your Data
You have the right to object to us processing your personal information if we are not entitled to use it any more, to have your information deleted if we are keeping it too long or have its processing restricted in certain circumstances.

You can make a complaint to the ICO about the way we use your information. However, we hope that you would consider raising any issue or complaint you have with us first. If you are not satisfied with our response or believe we are processing your personal data in a way which is inconsistent with the law you can complain to the ICO – helpline number: 0303 123 1113.

Security and storage of data

Data security is of great importance to Walnes and to protect your data we have put in place suitable physical, electronic and managerial procedures to safeguard your data.

All information you provide to us is stored on secure servers. Where we transfer personal information outside the EEA, we have robust procedures in place to secure your data and we will continually review such services.

We retain a record of your personal information for as long as we consider it necessary for the purpose for which it was collected, in order to provide you with a high quality and consistent service and as required by law or regulation.

We will always retain your personal information in accordance with the General Data Protection Regulation (GDPR) and never retain your information for longer than is necessary.

We may keep your data for up to 7 years after you have cancelled your services with us. We may not be able to delete your data before this time due to legal, regulatory or contractual obligations.

Our role as Data Processor

When you use our services to store or process your personal data (including customers’ or users’ data) you are the Data Controller and we are a Data Processor. Any processing is only in terms of the hosting and management services we provide to you.

You are the owner of the data you submit to our services, whether they are hosted on your premises or on our servers. We do not use your data for any processing of our own. You retain responsibility for setting standards and managing security of all data you upload and share.

We do not share or provide access to any of your data unless required to do so by law. Third parties are required to demonstrate they have a lawful reason to access data and under what authority. 

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive and then allows web applications to respond to you as an individual. We use cookies to analyse our web traffic and improve our website, by enabling us to monitor which pages you find useful.

Our website uses Google Analytics to provide us with non-personal site analytics, which in turn help us improve the website. Google Analytics tracking uses cookies to provide meaningful reports about website visitors but do not collect personal data about you.

Our website may contain links to other websites of interest. However, once you have followed these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you share on such sites.

Giving your reviews

You may share information through social networks like Facebook and Twitter when you ‘like’, ‘share’ or review our services. When doing this, your personal information will be visible to the providers of those social networks and/or their other users.
